Almost every company has "human integrations": employees who spend part of the day moving data from one system to another. It is slow, expensive and error-prone: a typo in an amount, a lost lead, a client invoiced twice. Removing double entry is one of the highest-payback jobs we do under API integrations.
In short: map systems and data flows, find manual transfer points, calculate their cost and automate in order of value. For each integration fix the source of truth, the field schema and failure behaviour.
Step 1. A map of systems and flows
- Which systems are used: website, CRM, email, payments, accounting, inventory, messengers.
- What data moves between them and who moves it.
- How often, how long it takes and where errors occur.
Step 2. Prioritisation
| Flow | Frequency | Time per month | Error risk | Priority |
|---|---|---|---|---|
| Website leads → CRM | Daily | High | Lost customers | High |
| Payments → CRM and accounting | Daily | Medium | Financial errors | High |
| Invoices → accounting | Weekly | Medium | Reporting mismatches | Medium |
| Reports from several systems | Monthly | Low | Inaccurate decisions | Medium |
Step 3. Designing each integration
- Source of truth: where data is created and edited, and where it is only displayed.
- Field schema: field mapping, formats for dates, currencies, phones, reference lists.
- Triggers: which event starts the transfer.
- Errors: what happens if the receiver is unavailable or data is invalid.
- Documentation: so the next developer understands how it works.
Step 4. Monitoring
An unmonitored integration will one day stop silently. You need an operations log, failure alerts, a dashboard of successful and failed transfers and regular reconciliation of key data.
How to measure the impact
- Staff hours saved multiplied by their cost.
- Lower losses: leads no longer lost and fewer payment errors.
- Speed: customers get answers and documents faster.
Frequently asked questions
Where do I start with many systems?
With the flow where manual transfer costs the most or where data loss hits revenue directly — usually leads and payments.
Do I need a custom CRM for this?
No, integrations work with off-the-shelf systems too. But if processes no longer fit your current CRM, consider CRM/ERP development.
Can AI be added to integrations?
Yes, for example to extract data from emails and documents before sending it to the CRM. See AI platforms.
Want to stop copying data by hand? Send a request on the API integrations page and we will map your systems, calculate the impact and connect services with monitoring.
